A contact record works well for one person with one set of details. But what if a customer owns three rental properties, insures two vehicles or brings four pets to your clinic? Cramming that into custom fields like "Property 1 address" and "Property 2 address" quickly breaks down. GoHighLevel custom objects let you create your own record types and link them to contacts, so your CRM matches how your business actually works.
Question | Use custom fields | Use custom objects |
|---|---|---|
Is there one value per contact? | Yes, such as date of birth | No, there can be many |
Does the item have its own details? | No | Yes, such as address, status, renewal date |
Can the item relate to several contacts? | No | Yes, such as a property with two owners |
Do you need to report on the items themselves? | Rarely | Often |
If you answer "many" or "its own details", you probably need a custom object.
Industry | Custom object | Example fields |
|---|---|---|
Real estate | Property | Address, type, beds, list price, status |
Insurance | Policy | Policy type, carrier, premium, renewal date |
Auto services | Vehicle | Make, model, year, mileage, last service date |
Veterinary | Pet | Name, species, breed, vaccination due date |
Education | Enrolment | Course, cohort, start date, payment status |
Property management | Unit | Unit number, tenant, lease end, rent |
Name the object as a singular noun, such as Property.
Choose a primary display field, such as the address, so records are easy to identify.
Add only fields you will use in reporting, automation or conversation.
Define associations. Decide how the object links to contacts or companies and label the relationship, such as Owner or Tenant.
Plan the data entry source: forms, imports, integrations or staff.
GoHighLevel workflows can react to custom object records, such as when a record is created or a field changes, depending on the triggers available in your account. Example automations:
Insurance renewal reminders: 60 days before a policy's renewal date, notify the agent and send the client a review invitation.
Vehicle service reminders: a reminder when the last service date passes six months.
Lease renewals: alert the property manager 90 days before a lease ends.
Property status changes: when a listing moves to Under Contract, notify the associated buyers and sellers.

Import records by CSV, then associate them with existing contacts using a shared key such as email.
For live data from other systems, sync through the API with n8n, Make or a custom integration. See CRM integration.
Keep one system as the source of truth for each object to avoid conflicting updates.
Creating custom objects for things that are really just tags or single fields
Too many fields that nobody fills in
No consistent identifier, which makes imports and syncs create duplicates
Building automations before the data model is stable
Are custom objects available on every GoHighLevel plan? Availability and limits can vary; check your plan and account settings.
Can one custom object record link to several contacts? Yes, through associations, such as a property linked to two owners.
Can I trigger workflows from custom objects? Yes, workflows can respond to custom object events where those triggers are available in your account.
Should I use custom objects or opportunities? Use opportunities for deals moving through a sales pipeline, and custom objects for things you manage over time, like assets or policies.
