An AI assistant is only as good as the information it can draw on. A general language model knows a lot about the world but nothing about your prices, policies or opening hours. A RAG knowledge base for chatbots solves this by retrieving the right passages from your own content and handing them to the model before it answers. The result is an assistant that answers accurately, cites your policies and says "I don't know" instead of guessing.
Retrieval-augmented generation is a method that combines two steps:
Retrieval: when a user asks a question, the system searches your knowledge base for the most relevant passages.
Generation: those passages are added to the prompt, and the language model writes an answer grounded in them.
Because the model is answering from supplied text instead of memory alone, RAG reduces hallucinations and makes answers easier to keep current. You update a document, and the assistant's answers change without retraining.
Term | Meaning |
|---|---|
Embedding | A list of numbers that represents the meaning of a piece of text |
Vector database | A database that stores embeddings and finds the most similar ones quickly |
Chunk | A small section of a document, often a few paragraphs, stored and retrieved as a unit |
Semantic search | Searching by meaning rather than exact keywords |
Hybrid search | Combining semantic and keyword search for better accuracy |
Reranking | A second pass that reorders retrieved chunks by relevance |
Context window | The amount of text a model can read in one request |
Collect the sources customers actually need: FAQs, service pages, pricing sheets, policies, product manuals, onboarding guides and resolved support tickets. Then audit them. Outdated or contradictory documents produce confident wrong answers, so remove duplicates and mark one source of truth for each topic.
Use clear headings so each section covers one topic.
Write questions and answers in plain language.
Put key facts, such as prices, eligibility and deadlines, in short, explicit sentences.
Add metadata like product, region, audience and last-updated date.
Split documents into chunks, typically a few hundred words, with a small overlap so ideas are not cut in half. Each chunk is converted into an embedding and stored in a vector database. Splitting along headings usually works better than splitting at a fixed character count.
When a question arrives, the system finds the top matching chunks, optionally reranks them and passes them to the model with instructions such as:
Answer only from the provided context.
If the answer is not in the context, say so and offer to connect the user with a person.
Do not invent prices, dates or guarantees.
Cite the source document where helpful.

Create a test set of 50 to 100 real customer questions, including tricky and out-of-scope ones. Score each answer for accuracy, completeness and tone. Fix failures by improving the source content first, then by adjusting chunking, retrieval settings or the prompt.
Assign an owner for each content area.
Re-index documents automatically when they change.
Review unanswered and low-rated conversations weekly.
Add new content for questions the assistant could not answer.
Fine-tuning changes how a model writes or behaves; RAG changes what information it can access. For most business assistants, RAG is the better first step because it is cheaper, easier to update and keeps facts traceable to a source.
Uploading every document without cleaning it
Chunks too large, so retrieval returns irrelevant text
No fallback when the answer is missing
Ignoring access control, so internal documents leak into customer answers
No ongoing review of real conversations
Do I need a vector database for RAG? For anything beyond a small set of documents, yes. Options range from managed services to databases such as PostgreSQL with a vector extension.
Will RAG stop all hallucinations? It greatly reduces them, but clear instructions, good content and testing are still needed.
Can a RAG assistant use live data like order status? Yes. RAG handles documents, while tool or API calls fetch live data from systems like your CRM or booking platform.
How much content do I need to start? A well-written FAQ and core service and policy pages are enough for a useful first version.
