For service businesses, the telephone remains a primary source of high-intent enquiries. When your team cannot answer, callers usually move straight to the next provider on Google.
GoHighLevel's Missed Call Text Back feature automatically sends a text message when an inbound call drops. It acknowledges the call and gives the customer an immediate avenue to continue the conversation via SMS.
Within your GoHighLevel sub-account, navigate to Settings → Phone System → Voice → Missed Call Text Back.
Your message should be short, professional, and actionable. Example: "Hi, thanks for calling [Business Name]. Sorry we missed you! Reply to this text with what you need help with, or grab a time on our calendar here: [booking link]."
Warning: Do not promise an immediate callback in your text unless your business has the dedicated staffing to consistently meet that commitment.
A common mistake is assuming the system will naturally stop sending texts if the same person calls three times in five minutes. By default, HighLevel may send a text for every missed call.
If your business receives frequent repeat calls, consider building a custom workflow instead of using the native toggle. A custom workflow allows you to add a condition: Check if the caller received a missed-call text in the last 24 hours. If yes, skip sending.
Sending the text is only step one. Decide exactly what happens when the caller replies:
Does the reply go to a unified conversation inbox?
Does the CRM automatically create an opportunity ticket?
Who is responsible for taking over the chat?
Missed Call Text Back can save thousands of dollars in lost revenue, but it requires proper configuration. If you need help structuring your call routing, Calari Solutions can integrate your phone systems perfectly with your CRM pipelines.
